Reports

Statistical & management reports, such as crime statistics and case load analyses, are a standard feature of the Niche RMS. Supervisors can access a wide array of management reports, ranging from up-to- the minute operational activity to adhoc reports on last month’s statistics. Presentations and reports can also be created, using RMS data with third party software like word processors or spreadsheets.

UCR/NIBRS (UCR shown here) screen allows statistical incident classification. “Prefill” extracts statistical data from linked incident information, allowing you to capture accurate statistics quickly with minimal overhead. Interactive rule checking highlights rule violations in color, and displays an explanation of the violation. Niche can provide extensions to standard UCR/NIBRS to meet any local agency statistical requirements without increasing officer or classification clerk workload.

Arrest reports record charges, arresting officer(s), arrest address, arrestee personal effects, court and fingerprint dates, and release information. A detailed report of the accused’s condition and circumstances of the arrest can also be entered.

Data-entry Report windows let you enter freeform text, spell check, and lock the report when it is complete. Both general purpose and specialty reports (e.g.,victim reports, fraudulent document reports, etc.) are available.

Third party applications plug in seamlessly: Niche RMS supports a number of current data exchange standards, including OLE DB, COM and XML, making it easy to interface with other police systems, such as AFIS. Niche RMS also interfaces with other law enforcement software, such as composite drawing and facial recognition packages, and specialized case analysis tools.

Custom forms using external document templates: Agencies can develop custom forms using Microsoft Word templates or other report generation packages such as Crystal reports. The procedure is the same for all external document tools: you develop and format the forms that you need, and Niche RMS provides tools that allow you to automatically pre-fill them from the RMS database. The same forms are automatically attached to records within the RMS, but can also be saved elsewhere and printed.

This functionality also allows you to create and prefill an entire set of documents, when necessary, such as when preparing a set of Court documents.

The application also integrates fully with the Microsoft Office suite, so that you can transmit or retrieve documents, pictures and files over a network or the Internet using Microsoft Outlook or another standard e-mail tool. Exchanging data with other people or organizations is a simple matter of selecting the information in Niche RMS and then dragging and dropping it into an e-mail message.

You can also use a variety of other standard desktop applications and database query tools (e.g., Microsoft Excel, Access), to aid in statistical analysis, or to create special reports. The system enforces all data access restrictions and security for users accessing Niche RMS using third-party tools.

Multimedia files can be stored as part of an incident file, or linked to any entity in the database, as can video and sound clips, digital photos, scanned documents, e-mail messages, web links, information from other databases, 3rd party software files, and so on.

Event logs record all access to the system, including details of information that has been entered, modified or viewed. System administrators can use these logs to audit the activities of individual users and workstations. Niche RBAC security is enforced regardless of the query source, including queries run using third party tools, such as Microsoft Access.

The BOLO Incident Summary is an example of one of many printable reports that you can generate in HTML or XML format. This makes it easy to export reports to third-party applications or e-mail them to others.

Auditing: Incident Event Logs track key incident events, including the status of tasks related to the incident and key data deletions and modifications. These logs provide supervisors with an overview of incident history and status.


Task/Workflow Management

The RMS task process includes report approval and other activities, such as property management, specialty unit notification, and so on. Individuals can create personal tasks and diary dates, or create tasks for others, and ask to be notified when a task is complete. A task can be associated with any database item. Task initiators can require approval before a task can be closed.

CAD system calls automatically transfer data into Niche RMS as soon as they close. Typically, for incidents requiring reports, the system generates an initial task for the reporting officer; it appears on the officer’s Task list with a due date. When a task is complete, it appears on the supervisor’s list. Supervisors can approve a task, send it back for more work, create follow-up assignments, and re-assign or transfer tasks. Supervisors access task lists on a per-unit basis to approve completed tasks or manage other unit workflow. Units and sections can be defined in a hierarchy to allow a task view for a unit, a group of units, or a whole police agency.

Tasks are created automatically as part of CAD workflow. You can assign tasks to other users and units to manage workflow throughout a police agency. Workflow includes detailed activity tracking.

The User Task List window lists tasks, providing a personal To Do list. You can filter the list to display different types of tasks and then sort the list by selecting a column heading.


Task Workflow templates allow administrative and supervisory staff to automate the workflow in areas where a specific sequence of tasks must be performed by a number of different people. Instead of having to create and assign the same lengthy list of tasks for every Incident of a particular type (e.g., Murder), or for routine reporting sequences, a supervisor can simply assign a beginning task to an end-user or unit, and the correct set of tasks get assigned in sequence, to the correct people. It reduces the effort required to generate tasks, and reduces the possibility that important steps will be left out.

In a workflow, when a user finishes a task, a Workflow Selection window presents the next tasks in the workflow. Workflow tasks can be made mandatory or optional.
